Job Description

1. Sales Coordination

• Coordinate with customers regarding orders, schedules, dispatches , quality parameters .
• Prepare quotations, Proforma Invoices, and sales-related documentation.
• Follow up with customers for order confirmations and pending approvals.
• Maintain customer order records and status updates.

2. Order Processing

• Enter orders into ERP/system accurately.
• Coordinate with production, planning, dispatch and other departments as required.
• Track delivery timelines and communicate delays proactively.

3. Customer Communication

• Handle customer inquiries and complaints professionally . Co-ordinate effectively for required developments .
• Share dispatch details, invoices, logistics updates, development updates , other details as required proactively .
• Maintain strong customer relationships.

4. MIS & Reporting

• Prepare daily/weekly/monthly sales reports.
• Track sales targets vs achievement – customer-wise, product-wise. Follow up internally and from customers to achieve targeted sales.
• Maintain data related to pending orders, collections, and customer feedback precisely.

5. Documentation & Compliance

• Maintain records of POs, schedules, specifications, updates in schedules or specifications or else and dispatch documents. Prepare customer-wise registers.
• Ensure proper filing and document control.
• Support audit/document verification requirements.

6. Cross-Functional Communication and Alignment
Considering customer service in terms of order dispatch, quality, developments, change in requirements, pricing, and sampling, a Sales Coordinator needs to communicate effectively and efficiently within the organization to meet customer requirements.
